1. Installation

Gmail

  1. Go to Google Workspace Marketplace.
  2. Search for "Email Cleaner" or "E-postrydder".
  3. Click Install and grant the required permissions.
  4. Open Gmail โ€” you will find Email Cleaner as a panel on the right side.

Outlook

  1. Go to Microsoft AppSource.
  2. Search for "Email Cleaner".
  3. Click Get it now and follow the instructions.
  4. Open Outlook โ€” you will find Email Cleaner in the toolbar.

2. Setting up API keys

Email Cleaner requires an API key from an AI provider. You choose which one:

Google Gemini (free)

  1. Go to Google AI Studio.
  2. Log in with your Google account.
  3. Click Create API key.
  4. Copy the key and paste it into Email Cleaner settings.
Tip: Gemini API is free for personal use with generous usage limits.

Microsoft Azure OpenAI

  1. Log in to Azure Portal.
  2. Create an Azure OpenAI resource.
  3. Deploy a model (e.g. GPT-4o).
  4. Note down: Endpoint URL, API Key and Deployment name.
  5. Enter all three values in Email Cleaner settings.

3. AI Auto-cleanup

The main feature of Email Cleaner โ€” AI analyzes your inbox and suggests actions.

How it works:

  1. Click ๐Ÿงน Start auto-cleanup in the add-on.
  2. The AI reads your email subjects and senders (not the content).
  3. You get a list of suggestions: Keep, Archive, Delete or Move.
  4. Review the suggestions โ€” uncheck any you disagree with.
  5. Click Execute selected to complete.
Note: "Delete" moves the email to the trash. It can be recovered for 30 days.

4. Quick archive

Archive old emails without AI analysis.

  1. Click ๐Ÿ“ฆ Quick archive.
  2. Select the folder/label you want to archive from.
  3. Choose time period (e.g. "older than 30 days").
  4. Confirm โ€” the emails are archived.

5. Mark as read

Mark all unread emails in selected folders as read.

  1. Click ๐Ÿ‘๏ธ Mark as read.
  2. Select which folders/labels to process.
  3. Click Execute โ€” all are marked as read.

In Gmail, this also works for categories (Primary, Social, Promotions, Updates, Forums).

6. Chat with AI

Ask the AI questions about your inbox:

The AI has access to your email metadata and can answer specific questions.

7. Choose AI provider

Email Cleaner supports two AI providers:

The daily counter resets at midnight. You can see your current usage in the add-on's home screen.

9. Frequently Asked Questions

Does Email Cleaner read my email content?

No. We only read subject line, sender and date. The email body is not accessed.

Where is my API key stored?

Locally in your email client (Google Apps Script Properties or Office Storage). We do not have access to it.

Can I recover deleted emails?

Yes! "Delete" only moves to the trash. You have 30 days to recover.

Does it work on mobile?

Gmail: Only on desktop/web. Outlook: Works on mobile with the Outlook app.

Can I use both Gemini and Azure?

You can configure both, but only one is active at a time. Switch in the settings.

What happens if I exceed my daily quota?

Auto-cleanup stops at the limit. Upgrade to a higher plan for more analyses per day.
